The Township has engaged +VG Architects to assist with a community consultation and design process for a new Municipal Hub located in the Village of Portland.

CORRESPONDENCE: 
Any communication received by the Township through the Clerk’s office or the information email account and directed to Council, will be forwarded to all members of Council, and appropriate staff, at the same time. If received via email, a reply email will be provided stating that the email was forwarded on for Council’s information and filed accordingly. Current or past communication items may be pulled from the files and placed on an upcoming agenda either through the consent agenda or as an attachment to a staff report as required. 

General correspondence from the public shall not be included on the Council agenda; unless:

1. specifically requested by a member of Council; or
2. used as supporting information to a staff report; or
3. it is the topic for a scheduled delegation as per the procedural by-law; or
4. included as supporting information to a Notice of Motion by Council

Any communication that contains defamatory statements, allegations, inferences, disrespectful or improper matters shall not be forwarded to Council or staff and shall be handed over to the CAO for review and returned to the sender.

DELEGATION REQUESTS:
Anyone wishing to address Council as a Delegation must contact the Clerk  Ext 293 to be added to an Agenda as space permits.
All delegations are required to submit a written statement and presentation material (if applicable), which will be included in the agenda package, no later than 4:00 p.m. on the Wednesday immediately preceding regular meetings in order to be accepted on the Agenda.

Delegations have a total of 10 minutes to address Council. Council members will then have an opportunity to ask questions to the delegation.

No Person presenting as a delegation shall:

    • Speak disrespectfully about any person;
    • Use offensive words or unparliamentary language;
    • Speak on any subject other than the subject that he/she received approval from the Clerk;
    • Disobey the rules of order or a decision of Council;
    • Return as a Delegation to speak to the same subject matter;
    • Be promotional or for the purposes of generating publicity;
    • Reflect upon the motives of members of Council who may have voted for or against a particular motion;
    • Reflect upon the motives of staff in giving advice to Council;
    • Engage in debate during your presentation;
    • That no deviation from the materials provided be referenced or shown.
